What is a Digital Asset, and How Does it Work?

For a long time, the main problem of the offices back then was where to put all the documents and files if there's no available space? If you have something to find, you need to search first in the pile of papers and documents that's been rumbled in the cabinets or desks. Listening to your favorite music back in the day on your local radio station and waiting for it to be played again by the DJ, a little bit of nostalgia, isn't it?
Digital assets are digitally created, and its functionality is to store data on a digital storage drive or a computer unit. Everything is possible now. All the handwritten notes, pictures, even paintings can turn into a digital asset if you want to if they're scanned and uploaded through with the help of a computer. A digital asset includes photos, videos, design files, word documents, PDFs, company branding, presentations, marketing content, and MP3 formats.
Digital assets are not limited to only that. You can use it to create a user-accounts, cryptocurrency tokens, digital tokens, online transactions, data packages, and any high and sensitive value digital files. Aside from what these essential digital assets features can offer us, this is the best way to practice digital transactions for any 21st-century company.
How to Manage Your Digital Files?
1. Create folders according to their use. To avoid confusion with file management, try to create folders under the files that have been stored. If your file is confidential, make some markings that this folder is for confidential files only, not associated with any other files.
2. Create folders within folders. If you're creating an invoice for the customers, guarantee that your folders are up to date. For example, in a folder named "customers_billing," you should create a folder and indicate which year the customer paid to avoid bad records.
3. Have a specific name for every folder. A well-organized workplace reduces stress, same with well-organized folders. Organized folders help you define what is inside the folder without looking inside it. That sounds terrific and a time-saver, right? For example, if your folder name is "for emails only," the folder should contain email-only files for fast transactions.
4. The file location is important. Using the default file location for your files is not advisable. Make sure to create a designated folder file for your installation folders to avoid mixing up files. For example, the default target drive is D:, you should create a folder first, then all the files should go directly to the folder you made.
5. Back up your files regularly. Whenever you are copying files from another device or drive, you should back up the files first before doing it. Backing up files ensures that the files have a copy and show professionalism in work.

 

5 Common Types of Digital Asset
Presentations. Today's most common tool for sales and marketing is presentations. The presentation can be in the form of word documents, PowerPoint presentations, and google docs. All the files can be turned into images and retain their quality for a perfect presentation with business partners or clients.

Images. The most typical and well-known digital asset is an image. An image can be a JPEG, PNG, SVG, or WebP format.

Graphics. Graphics are known to be the ice breaker of any presentation. In digital assets, graphics are essential, including anything from branding materials to logos. Designers are the one who has the most potential in graphics because they can work on any kind and type of graphic files, from proofing up to WIP and archive work.

PDF. Portable Document Format captures every component of a printed document that can be turned out as a digital image. The document produced by PDF can be viewed and printed. PDFs are best used for heavy files documents like brochures and detailed photos/texts. The good thing about PDF is its security, and you can't just edit the converted file.

Video. Videos are mainstream digital assets today. You can use it in different formats, such as .mp4, avi, .mov, that have their own according to subformats properties.
Digital Asset Management (DAM)
The best way to secure your important files is to store them in DAM or digital asset management software. You can share, store, and organize all the digital content confidently and in a well-organized location in the DAM platform. Your team can now access your images, videos, and important files with the help of digital asset management. After the digital asset management is established, it is now shared with your organization in where they can now also search, collaborate and share assets with you.
